About creating entitlements

Poetic's entitlement creation function allows you to create multiple entitlements at once. The entitlements can be of different types, based on the product type. All of the generated entitlements have the same parties.

As part of the generation process you can set up License Authorization Codes (LACs) for the entitlements. You can specify the LACs, or have Poetic generate them for you. The method used to generate the LACs helps determine the number of entitlements that Poetic generates.

Starting the entitlement creation process

To start the creation process, in the Asset menu, click Create entitlements.

The Detail page of the Create Entitlements process displays.

Selecting the party information for the new entitlements

In the Entitlement Parties section, select the entitlement parties. You must at least select the sold-to company. If you type in the company names, click Refresh Party Information to validate the information and display the full company names and addresses.

Sold-to company Required. The sold-to company for the entitlements. Type the company name, or click the find icon to search for a company.
Dealer company The dealer company for the entitlements. Type the company name, or click the find icon to search for the company.
End customer The end customer for the entitlements. Type the company name, or click the find icon to search for the company.
Registered owner The name of the registered owner for the entitlements. Defaults to the primary contact for the end customer.

Click Change Registered Owner to search for and select a different registered owner within the end customer.

Program Required. From the Program dropdown, select the program under which to create the entitlements.
Contract # From the Contract # dropdown, select the contract under which to create the entitlements. The contract must belong to the selected program.
Group If you have selected an end customer for the entitlements, then you can select the group to assign the entitlements to.

Depending on the number of available groups, you either:

  • Select the group from the Group dropdown
  • Click the find icon next to the Group field to search for and select the group

To create a new group to assign the entitlements to, click Add Group. To edit the selected group, click Edit Group.

Determining how to generate and deliver LACs.

In the LAC Generation and Delivery section:

LAC generation rule From the LAC generation rule dropdown, select the option for generating LACs.

To not to generate any LACs for the entitlements, select No LAC generation required. Poetic generates one entitlement for each line in the product list. Each entitlement has the quantity specified for the product, and none of the entitlements have LACs.

To specify a single LAC for all of the entitlements, select Enter 1 LAC for this transaction. A LAC field displays below the dropdown. Poetic generates one entitlement for each line in the product list. Each entitlement has the quantity specified for the product, and the LAC you enter in the LAC field.

To specify a LAC for each line in the product list, select Enter LAC(s) at line detail. A LAC column is added to the product list. Poetic generates one entitlement for each line in the product list. Each entitlement has the quantity specified for the product, and has the LAC specified for the line it was generated from.

The remaining options have Poetic generate the LACs. To use these options, each product must use the same LAC generation method.

To have Poetic generate one LAC for all of the entitlements, select Create system generated LACs - 1 for this transaction. Poetic generates a single entitlement for each line in the product list. All of the entitlements have the same generated LAC.

To have Poetic generate a unique LAC for each line in the product list, select Create system generated LACs - 1 for each line. Poetic generates a single entitlement for each line in the product list. Each entitlement has a different generated LAC.

To have Poetic generate a number of unique LACs equal to the product quantity, select Create system generated LACs - 1 for each seat. For each line in the product list, Poetic generates a number of entitlements equal to the quantity specified for that line. Each entitlement has a quantity of 1. For example, if the first line has Product A and a quantity of 2, and the second line has Product B, and a quantity of 3, Poetic generates 5 entitlements, 2 for Product A and 3 for Product B. Each entitlement has a different generated LAC.

LAC If you selected Enter 1 LAC for this transaction as the LAC generation rule, then in the LAC field, type the LAC.
LAC file format From the LAC file format dropdown, select the format to use for the file listing the LACs for the new entitlements.
Send LACs to To email the LACs to a specific email address or addresses, type the addresses into the Send LACs to field. Use commas to separate multiple addresses.

Setting the entitlement details

In the Entitlement Details section, select the products for which to generate entitlements. For each product, you must at least select the quantity. Poetic generates at least one entitlement for each line.

Adding lines to the list

To add lines to the list, click the Add lines toolbar option.

Removing a line from the list

To remove a line from the table, click the Remove link for the line.

Configuring each line

For each line:

Product For a new line, the Product column contains a field. You can either type the Feature Number into the field, or click Find to search for and select the product.

If product security categories are used, you can only create entitlements for products belonging to product security categories that you have privileges to manage.

To refresh the list to replace the field with the product description after typing the Feature Number, click the Refresh toolbar option.

Qty In the Qty column, type the quantity to generate for the product.
Activation Type From the Activation Type dropdown, select whether the entitlement is for permanent or evaluation activation.
LAC If you selected Enter LAC at line detail as the LAC generation rule, type the LAC in the LAC column.
SIEL-ID In the SIEL-ID column, type the system identifier to assign to any entitlements created from this line. Depending on the system configuration, entitlements with a SIEL-ID assigned to them can only be activated on a host machine with the same SIEL-ID.
Activation Unit This column only displays if the system supports entitlement kits. To group any of the entitlements into an entitlement kit, type the identifier of the kit into the Activation Unit column. For example, if the first 3 products will belong to entitlement kit "3", type "3" into the Activation Unit column for those lines.
Activation Option If you are creating entitlement kits, then for each entitlement kit, select whether the entitlements in the kit must be activated together.

To require that all entitlements in the entitlement kit be activated together, select Must activate as a whole.

To allow entitlements within the kit to be activated separately, select Bypass activate as a whole.

You must select the same activation option for entitlements in the same entitlement kit.

Displaying the configuration tabs for a line

For each line, you can display configuration tabs, including a Dates tab to set the entitlement date information and an Additional Information tab with additional fields. To display the tabs, click the Configure link in the last column of the line.

To hide the tabs for line, click [Close Tabs].

To display the configuration tabs for all of the lines, click Expand all.

To hide all of the configuration tabs that are displayed, click Collapse all.

About setting the entitlement dates and duration

By default, each line is configured so that the entitlements:

An expiration date or duration can be assigned to the entitlement. If an entitlement has a duration, the duration is used to set expiration dates for the activated items, but the entitlement does not expire. For example:

On the Dates tab, if the Start on field is displayed, use the field to edit the start date for the entitlements.

To set an expiration date for the entitlements:

  1. Click the Expire on radio button.
  2. In the accompanying field, provide the expiration date.

To provide a duration for the entitlements:

  1. Click the Duration radio button.
  2. In the accompanying field, type the duration value.
  3. From the dropdown, select the duration unit of measurement.

After setting the dates and duration, to update the date information in the product summary, click the Refresh link on the toolbar.

Setting count-based subscription information

If count-based subscription is used, where customers are entitled to receive a specific number of updates, then the Dates tab includes required fields to configure the subscription:

Next delivery date Use the Next delivery date field to provide the date when the customer is due to receive their first update for this entitlement.

Either type the date into the field, or use the date picker to select the date.

Deliveries remaining In the Deliveries remaining field, type the number of updates the customer is entitled to for this entitlement.

Copying the date settings from one line to all of the lines

To copy the settings on the Dates tab from one line to all of the lines, click the [Apply to All Current Lines] link on the Dates tab for the settings you want to copy.

When you apply the settings to all of the lines, Poetic automatically updates the date information in the product summaries.

Providing additional information for each line

Some products require that you provide additional information when creating the entitlements. If a product requires additional information, then the configuration tabs include an Additional Information tab.

On the Additional Information tab, provide the requested information.

Sending notifications for the new entitlements

Sending the Invite to Activate for the entitlements

The Invite to Activate notification is used to notify the recipient that there are entitlements available to activate. When you create entitlements, you can determine whether to send the Invite to Activate for the new entitlements.

If all of the entitlements are activated automatically, then Poetic may be configured to not send the Invite to Activate at all.

Invite to Activate template If there are multiple versions of the Invite to Activate notification, then from the dropdown, select the version to send.
Send to registered owner To send an Invite to Activate notification to the registered owner, check the Send to registered owner check box.
Additional recipients To send the Invite to Activate notification to a specific email address or addresses, type the addresses into the Additional recipients field. Use commas to separate multiple addresses.

Sending a confirmation that the entitlements have been created

To send a notification when the entitlements and LACs have been generated, type the email address or addresses into the Send entitlement confirmation to field. Use commas to separate multiple addresses.

The notification tells the recipient that the generation process is complete. It includes:

Sending certificates for entitlements that are activated automatically

If any of the entitlements are activated automatically, you can also configure how to send the certificate for the activation.

Activation Certificate template If there are multiple versions of the Activation Certificate notification, then from the dropdown, select the version to send.
Do not send to registered user When entitlements are activated automatically, the registered user for the activation is the registered owner selected for the entitlements.

If this box is checked, then the registered user does not receive a copy of the certificate.

If the box is not checked, then whether the registered user receives the certificate depends on the system configuration.

Send certificates to To send the certificates for the automatically activated items, type the email addresses into the Send certificates to field. Use commas to separate multiple addresses.

Completing the entitlement creation process

On the Detail page, click Next.

The Confirm page of the Create Entitlements process displays.

The Confirm page allows you to add notes concerning the entitlement creation. It also provides a summary of how many entitlements and LACs will be created.

To complete the entitlement creation, click Finish.
